VA Cost Calculator
Estimate virtual assistant costs for your weekly hours and a selected rate period. Compare the result with an illustrative in-house cost assumption.
Use these calculations to explore a scenario. They do not establish a quote, availability, equivalent staffing capacity or a guaranteed outcome. Review published pricing and discuss the requirements of your role before making a commitment.
- Estimated monthly cost
- $1,212
- Annualized selected-period cost
- $14,550
- Hourly starting rate
- $13.99
- Monthly budget difference
- $6,246
Monthly = $13.99 × 20 weekly hours × 52/12. Annualized = monthly × 12 at this selected rate, not a first-year total. From month 2, the minimum for this tier is 15 hours per week.
Difference uses an illustrative $65,000 salary, 30% benefits and $5,000 annual overhead. It compares different staffing arrangements, not equivalent capacity or guaranteed savings.
Starting rates may vary with experience, skills and the type of assistant. Confirm the applicable terms for your assignment. Review pricing.

Monthly costs use 52/12 weeks. An annualized figure multiplies a selected period’s rate across 52 weeks, so it is not the total for a first year with changing rate periods. Budget differences depend on the assumptions entered and compare arrangements that may have different hours, scope and responsibilities.
Build a weekly workload before choosing hours
List the tasks you want to hand off, how often they occur, and when someone needs to be available. Include time for instructions, questions and review. Choose weekly hours that fit this workload, then use the rate period selector to explore the applicable period. Changing the period updates the displayed calculation without changing your selected hours.
In a hypothetical example, 10 hours each week represents 520 hours across 52 weeks, or about 43.3 hours per average month. The calculator multiplies those hours by the displayed rate for the selected period. This illustrates the calculation, not the hours your assignment will need. A calendar month may contain a different number of working days.
Use the comparison as a budgeting prompt
The in-house comparison uses fixed illustrative assumptions, including benefits and overhead. If you carry it into a separate worksheet, avoid adding those same items again. Use the comparison calculator below when you want to enter your own assumptions.
Compare the work covered, availability and decision-making authority as well as the budget. A smaller weekly assignment may cover a narrower scope. The annualized figure extends one selected period across a year. It does not combine changing periods into a first-year budget. Discuss onboarding, review time and responsibilities before deciding how much work to delegate.
